Patient Menu - Creating and Managing a New Patient Record: Complete Guide
Including How to Add a New Patient or Lead into your system.
Managing patient records efficiently is critical for front desk teams, billing staff, and providers. This guide walks through all available methods for creating, searching, and managing patient records in ChiroSpring.
Adding a New Patient
There are 4 ways to add a new patient into ChiroSpring.
1. Add New Patient from Search
If the patient is not already in the system:
- Use the search bar at the top of the screen.
- Type the patient’s name.
- If the patient does not appear in the results, select “Add New Patient.”
- Complete the required patient information fields.
This method is ideal when you are manually entering a patient before scheduling.

2. Add Patient While Creating an Appointment
This is the fastest method when scheduling a new patient.
- Navigate to the Scheduler.
- Click the desired time slot.
- In the Create Appointment dialog, begin typing the patient’s name in the Patient field.
- If the patient does not exist, the option “Add New Patient” will appear.
- Click Add New Patient.
- Enter the patient’s First and Last Name.
This allows you to quickly place the patient on the schedule. Additional demographic details (DOB, phone, email, etc.) can be added later.

3. Import Leads via Growth Hub (Add Lead)
For bulk uploads or marketing imports:
- Navigate to the Growth Hub tab.
- Click Add Lead.
- Select Import.
- Download the blank CSV template to ensure proper formatting.
- Populate the CSV file with patient data.
- Upload the completed file using Import File.
This method is best for importing multiple new leads at once.

How to Search for a Patient
You can search for a patient in several areas within the system.
Primary Search Bar
Use the top search bar (see image below).
Search by:
- Name
- SSN
- DOB (MM-DD-YYYY)
- Phone (XXX-XXX-XXXX)
- Account Number
- Nickname

Additional Search Locations
You can also access patient search from:
- Daily Widget
- Front Desk
- Scheduler
- Reports → Patient → Listing → Search
Front Desk/Daily Widget Example:
- You can click on Patient Name and will go to Treatment Dashboard
- You can click on the Circle Image and it will go to Treatment Dashboard
- When you hover, you have more Quick Options
- The Gear Icon let's you quickly update patient demographics

Best Practices
- Always search before creating a new patient to avoid duplicates.
- When scheduling quickly, add minimal required information and complete the rest later.
- Use the CSV template for imports to prevent formatting errors.
- Confirm DOB entry carefully, as date pickers may vary slightly depending on device and browser.
Patient Record - Full Content
When you are working with a patient record, the entire record opens in upper right corner of the top bar and you can hover to view the entire record contents. The Patient Record serves as the central hub for all patient activity and documentation.
The patient record remains "open" until you work with a different patient. Multiple users can be in the same record at the same time.
Depending on where you open a patient file from, the system is intelligently designed to open the record on the screen that's most relevant.
- For Example:
- Clicking a patient from the Aging Report - Takes you to Billing Dashboard for Patient
- Clicking a patient from the Appointment Listing Report - Takes you to the Billing Dashboard (where demographic/contact information exist)
- Clicking a patient from the Compliance Report - Takes you to the Treatment Dashboard (and when you open a note template, it opens the Date of Service from the Compliance Report!)
The Patient Record includes access to:
- The Dashboards serve as a Quick Reference point for your specific role

- PC/Laptop/Desktop gives the full 4 column view you see below
- Tablets will appear in dual columns, so order will be slightly different in dashboards
