Appointment Reminders - Basic & Enhanced - Setup
ChiroSpring provides all users basic Appoitnment Reminders. These are a great way to remind your patient of their upcoming appointment. For practices that want to send out a cadence of reminders (up to six per appointment), send appointment confirmations, or who want to send custom reminder messaging based on Appointment Category, then you will want to subscribe to GrowthHub Pro which includes our Enhanced Reminders. This article will show you how to setup your reminders.
Enable Reminders
First you will want to enable reminders (these are not enabled by default). To do this go to Settings/Work Flow Rules.
- Toggle the "Enable appointment reminders" box to "On".
- Determine the mode of reminder (e.g. SMS or Email)
- Determine the When to Send (e.g. 1 day before appointment)
- Create your reminder message (and enable the check box)
Patient Preferences
You may also customize specific patient prefernces for almost anything under the Custom Workflow Rules. In this case, we are talking about appointment reminders.
To to this, search for a patient at the top of ChiroSpring. Then hover over the patient (top right when they are selected) and select Patient Preferences.
You may then set the patient reminder preferences. See below.
Enhanced Reminders (requires GrowthHub Pro)
Enhanced reminders are essential to improving patient show rate. Create a cadence of reminders (up to six per appointment) to ensure your patients are not forgetting their appointment. Enhanced reminders also give you the ability to create reminders based on visit category. As an example, when a patient schedules their appointment for "New Patient", you might want the reminder to say something like this.
Hello, Patient_Name! This is a reminder that you have your new patient appointment with Provider_Name on Appointment_DateTime. Please remember to bring your insurance card and arrive 15 minutes before your appointment.
Reminders Cadence - Up to Six Reminders per Visit
First enable appointment reminders by clicking 'On'. Then determine the mode of reminder (SMS or Email).
Now it is time to set your reminder's cadence. As an example, you might want the reminder to go out 2 days before the appointment (see below).
By clicking the "Add additional reminder" option, you can add a total of six reminders (see below).
Reminder's Message
Next create your reminder message and determine if you want multiple per day (this means multiple reminders when the patient is booked multiple times for that same day). We recommend leaving that off.
Use the replacement values (from the dropdown menu). Then click "Insert" to add them to your message above. This will add things like the patient name, provider name or appointment date and time.
Booking Confirmations
If you want patients to receive a booking confirmation when you shedule their appointment make sure to enable appointment confirmations. Then create your message. See below.
Reminders by Appointment Category
If you want a reminder to read differently based on the patient's appointment category (e.g. New Patient) you can do this as well. Click the edit (pencil icon) for any Appointment Category, then enable the custom reminder text and customize.
Reminders - Birthday Messages
Staying connected with your patients is essential in today's practice. Whether it be responding to a text message, or someting more poersonal like wishing them a happy birthday. With GrowthHub Pro, sending birthday messages is possible and it's fully automated.
The first step to sending birthday messages for your patient is turning on this feature. This is done under Settings/Workflow Rules. Here you will see the option to enable, and customize, your birthday messages.
Once enabled, the birday message will be sent to your patient automatcially on their birthday.
Birthday Messages - Customize by Patient
For those patients that are very special to you, you may want to add a personal touch to their birthday message. This can be done under Patient Preferences. To get here, search for your patient at the top of ChiroSpring. Then click on their profile icon (right of screen). From the menu that appears, scroll down until you see Patient Preferences.
In addition, you also have the option under patient preferences to disable birthday messages for that particular patient.
Reminders - Customize by Patient
Some patients may have specific preferences as to when they want to be reminded, or, may want reminders disabled entirely. This can be done under Patient Preferences. To get here, search for your patient at the top of ChiroSpring. Then click on their profile icon (right of screen). From the menu that appears, scroll down until you see Patient Preferences.
