Initial Setup

Setup Page

Complete the following before scheduling patients:

  • Add facility address, phone/fax, and website
  • Add practice contact email
  • Enter Group NPI and Tax ID (added during customization training)
  • Add Taxonomy Code (if applicable)
  • Add alternative facility locations (for claims, if needed)
  • Set your time zone


Users & Access Roles

Create Users or Rooms

When setting up providers and staff:

  • Enter Taxonomy Code and Provider NPI
  • Configure claim box overrides (25, 32, 32a, 33, 33a) if needed
  • Set default facility (important for multi-location practices)
  • Set scheduler order and max appointments per time slot
  • Enable Save & Sign treatment notes in both required locations

Access Types

Assign appropriate roles:

Administrator

Full system access.

Provider

Can sign notes but cannot view billing reports.

Billing

Cannot sign treatment notes.

Support

Scheduling-only access.

Clinician

Limited provider role (commonly used for colleges).

Intern

Very limited provider access.


Importing Data

Import Patient Demographics

  1. Download the CSV template.
  2. Remove sample data (do NOT edit header row).
  3. Add your real patient data.
  4. Select “Import File” and upload.
  5. Repeat anytime to import leads.

Import Patient Balances

  1. Download CSV template.
  2. Export balances from previous EHR.
  3. Enter balances into template.
  4. Import into ChiroSpring.

Import Products

  1. Download template.
  2. Replace sample data (do NOT edit headers).
  3. Import file.

Import Patient Credits

  1. Download template.
  2. Export credits from prior EHR.
  3. Enter into template.
  4. Import.

Clinical Setup

Favorites List

Configure:

  • Products
  • Services
  • Diagnosis favorites
  • Fee schedules (for non-insurance visits)

Treatment Note Defaults

ChiroSpring includes 50+ templates.

  • Choose active treatment notes
  • Reorder templates (0 = top position)
  • Enable mobile visibility
  • Configure Ditto settings (copy last note or fee slip)

Custom Templates & SOAP Macros

  • Create custom treatment notes, kiosk forms, or web forms
  • Set order and favorites
  • Use SOAP Macros (headers must be Subjective, Objective, Assessment, Plan, or Evaluation)
  • Edit existing macros or create new ones

Appointment Reminders

Standard Reminders (Included)

  • Enable reminders (turn on when ready)
  • Choose SMS or Email
  • Set timing (e.g., 1 day before appointment)
  • Choose single or multiple reminders
  • Customize message

Note: Same-day appointments do not trigger reminders.

Enhanced Reminders (GrowthHub Pro Required)

  • Up to six reminders per appointment
  • Instant confirmation when booked
  • Custom text per appointment category
  • Birthday reminders
  • Same-day booking messages

Insurance & PMR

Third-Party Payers

For each insurance carrier:

  • Add payer details
  • Click “Configure”
  • Mark charges as covered
  • Set allowed amounts
  • Confirm Payer ID
  • Enable EDI if submitting electronically

Patient Member Responsibility (PMR)

To use PMR:

  1. Ensure PMR is enabled globally.
  2. Mark covered charges in payer configuration.
  3. Enter patient benefits in Insured Information.

PMR calculates copay, coinsurance, deductible, and visits remaining.

Fee Schedules (Non-Insurance Only)

  • Create new fee schedule
  • Set CPT pricing
  • Enable tax per CPT (if required)

Note: Fee schedules cannot be used with insurance claims.


Scheduler & Front Desk

Scheduler Setup

  • Create visit types
  • Set length and color
  • Enable reminders per visit type
  • Choose which visit types appear online
  • Set time increments
  • Link forms to appointment categories
  • Create time blocks

Front Desk

  • Create virtual rooms
  • Customize appointment category names and colors
  • Use PMR for accurate checkout estimates
  • Move patients through check-in to check-out
  • Collect payments and reschedule visits

Online Booking

Online Appointment Requests

  • Requires staff review
  • Does not auto-populate calendar
  • Copy short link to website
  • Do not use if Online Scheduling is enabled

Online Scheduling (Pro/Pro+ + GrowthHub Required)

  • Real-time patient booking
  • Appointments appear instantly
  • Select which visit types appear online
  • Set time blocks for restrictions
  • Ensure providers are Active on Scheduler and Selected as Header

Patient Forms & Kiosk

Patient Forms (Pro/Pro+)

  • Customize website form text
  • Create custom forms
  • Send via Communicator Dashboard
  • Attach forms to visit categories

    Completed forms appear in:

    • Treatment Notes
    • Treatment Dashboard
    • Communicator Dashboard

Patient Kiosk (GrowthHub Required)

Patients can:

  • Check in
  • Enter chief complaints
  • Complete forms
  • Make payments

Completed forms appear in Treatment Notes.


Mobile Apps

PatientHub 360 (Patient App)

  • Book appointments
  • Check in
  • Send login link via Communicator Dashboard
  • Configure instant scheduling (GrowthHub required)

ChiroSpring 360 (Practice App)

  • View schedule
  • Book appointments
  • Take payments
  • Complete treatment notes

Enable which treatment notes are active on mobile.


Statements & Communication

Patient Statements

  • Choose default statement design
  • Set return address
  • Add custom note
  • Send via Email, SMS, or print
  • Use PMR for accurate balances

Email Settings

  • Set “From” email address
  • Replies are managed in your external email system

Recommended reports:

  • Visit Compliance Report
  • Activity Report (run daily)
  • Aging Report

Claims

  • Claims generate when saving a fee slip
  • Review in Pending Claims
  • Correct first claim before next visit (prevents SALT issues)
  • Submit via EDI or ChiroSpring clearinghouse
