How to Create a Financial Treatment Plan

In this article, we will guide you through the process of putting together a financial treatment plan for your patients. This plan will help you outline the services, costs, and insurance coverage for their treatment. By following these steps, you can ensure transparency and provide your patients with a clear understanding of their financial responsibilities.


Step 1: Accessing the Patient's File

  1. Locate the patient's name in the scheduler or use the search function in the upper left-hand corner.
  2. Click on the patient's name to access their file.

Step 2: Creating a Treatment Plan

  1. In the patient's menu select Treatment Plan, or navigate to the treatment dashboard, also accessible on the billing dashboard.
  2. If no treatment plan has been saved previously, click on the plus sign (+) to add a new treatment plan.

Step 3: Setting Up Treatment Plan Details

  1. Start by entering the start date for the treatment plan. By default, this will be set as today's date, but you can backdate it if necessary.
  2. Choose the treatment plan type: cash or insurance. If you're submitting claims to insurance, select the insurance option.
  3. If you selected insurance, fill in the deductible remaining, copay, and coinsurance amounts based on the patient's insurance coverage.
  4. Next, you can add the services the patient will receive, along with their frequency.
  5. Use the service dropdown menu to select the appropriate type of service.

Step 4: Adding Services to the Treatment Plan

  1. Select the type of service from the menu dropdown. You can type in the code directly or use the lookup code feature to search for the code.
  2. Once you select the code, the system will display the general clinic plan amount. If applicable, you can add additional allowable amounts from different insurance plans.
  3. Specify the type of care for the service: acute, corrective, or wellness. Acute services will be covered by insurance, while corrective and wellness services are typically self-pay.
  4. Enter the quantity or number of times the patient will receive the service.
  5. Repeat these steps for each service you want to include in the treatment plan.

Step 5: Reviewing and Finalizing the Treatment Plan

  1. Once you've added all the services, click on "Create Treatment Plan" to generate the plan.
  2. Review the treatment plan output, which includes the services, charges, and insurance coverage breakdown.
  3. The general plan column shows the charges for each service that will be billed to insurance.
  4. The acute, corrective, and wellness sections display the patient's responsibility and insurance coverage based on the deductible, copay, and coinsurance information entered.
  5. Verify the total patient responsibility for the insurance portion of care.
  6. Edit the treatment plan if needed by clicking on the "Back" button.
  7. If ready to proceed, click on "Print" to generate a PDF version of the treatment plan.

Step 6: Customizing and Printing the Treatment Plan

  1. In the print preview, you can enter additional text in the provided text box, which will be included in the treatment plan document.
  2. Click "OK" to generate the printable PDF.
  3. The treatment plan document includes treatment plan language, any additional text you added, and payment terms.
  4. Patients can review the plan, sign the payment terms section, and provide necessary financing information.
