Patient Reminders (Stop Managers)
Patient Reminders (Stop Managers)
It can be difficult to keep track of reminders for a given patient. Let's say your patient needs to bring in their new insurance card on their next visit. How would you create a reminder for this, and not miss it? Or, perhaps your patient should not be adjusted in their cervical region. How would you create a reminder for this so the provider sees it?
ChiroSpring provides a simple way to accomplish these things, and much more.
Reminders can be created for a patient in a few places.
- Treatment Dashboard
- Billing Dashboard'
- Reminders Dashboard
Create Reminders
To create a reminder, click the + icon.
In the dialog (image below) determine the reminder type (you can customize this list in settings/reminder types.
Next add the message (e.g. get new insurance card).
You can then determine if the reminder will be date based or visit based.
- Visit date - Reminders become due on this date or any date after (until marked complete)
- Visit encounter number - The reminder will trigger when the patient reaches that encounter number.
It is important to understand what an encounter number is. To see this, go to the patient's Reminders Dashboard.
In the image below, you can see our patient is at visit # 39. This means if I create a reminder to trigger on visit 39, it will trigger today. If I set it to trigger on visit 40, it will not trigger until their next visit.
This number is only incremented once per visit date (even if a patient has multiple appointments on the same visit date).
We do allow the ability to reset this number (back to zero as an example). This is useful if you want to create a new set of reminders for the patient that trigger on say visit 5 with a repeat every 5 visits. This way you do not have to do any match and calculate which actual visit number to start on. Use the reset option only if you want to. It can be found under the patient preferences.
How do you see the reminders?
Reminders are shown in two ways.
- They will pop up on at the location you set them for (e.g. treatment dashboard) on the visit number or visit date they were set for.
- A bell icon will appear for your patient when they are selected (see below). When clicked, their overdue reminders will be displayed).
How to manage reminders
There are a few options you can choose from when a reminder triggers.
- Complete & Remove
- This will mark the reminder as complete and remove it (it's like deleting it in a way). If you wanted it to appear next visit, do not choose this option).
- Acknowledge
- This indicates you have done the reminder, but, do not want to mark it complete. As an example, if you have a reminder to get new ABN paperwork every 30 days, you would mark it "acknowledged" when you do it. However, you would not mark it complete or it will not re-appear in 30 days.
- Snooze
- This indicates you do not want to see the reminder for the remainder of the visit, but do want it to re-trigger next visit.
- Edit
- This allows you to edit the reminder.
Reminders Dashboard
This is the best place to create or manage existing patient reminders for your patient. This is because you can see all of the columns without having to scroll.
