Fee Slip Workflow Guide
New Fee Slip settings provide clinics with greater flexibility by allowing treatment note templates to either require a fee slip or be used for documentation-only visits.
Additional options are available during Claim Assembly, along with enhanced fee slip indicators and compliance reporting.
Understanding "Require Fee Slip"
When creating or editing a treatment note template, user can choose whether a fee slip is required.
Option 1 - Custom Templates
Navigate to: Settings > Custom Templates
When building or editing a Treatment Note template, enable or disable the Require Fee Slip setting.
Option 2: Treatment Note Visibility Settings
Navigate to: Settings > Treatment Notes > Notes & Fee Slip
Use the Require Fee Slip checkbox to quickly update existing treatment note templates without opening each template individually.
This is the fastest way to review and update fee slip requirements across multiple templates.
Require Fee Slip
Use this option for templates associated with billable services.
When providers complete these notes, a fee slip is expected as part of the workflow.
Common examples:
- Chiropractic adjustments
- Therapy visits
- Insurance visits
- Cash visits with billable services
Require Fee Slip Disabled
Use this option when documentation is needed but billing is not.
Common examples:
- Narrative reports
- Documentation-only encounters
- Administrative visits
When disabled, the system recognizes that a fee slip is not required and displays the appropriate indicators throughout the platform.
Fee Slip Status Indicators
Fee slip indicators are displayed throughout the system to help staff quickly identify the status of documentation and billing.
You will see these indicators in:
- EHR
- Front Desk
- Treatment Dashboard
- Visit Compliance Report
- and more..
These indicators help staff identify when:
- A fee slip exists
- A fee slip is attached to a treatment note
- A fee slip is not required
- Documentation has been completed without billing
Completing a Treatment Note
Providers continue to document and sign treatment notes as they do today.
After selecting Save & Sign, and a fee slip is required.
At this point, choose how the fee slip information should be processed.
Option 1: Save & Create Claim (Default)
Select Save & Create Claim when services should be billed.
What Happens?
- A fee slip is created
- A claim is created
- Diagnoses and procedures are saved
- The fee slip is attached to the treatment note
Use This When
- The visit should be billed
- Insurance claims need to be generated
- Patient responsibility should be tracked
- Services should appear in billing workflows
This is the standard workflow for billable patient visits.
Option 2: Save to Treatment Note Only
Select Save to Treatment Note Only when diagnoses and procedures should be saved to the treatment note without creating a claim.
What Happens?
- A fee slip is created
- Diagnoses and procedures are saved
- The fee slip is attached to the treatment note
- No claim is created
Before saving, the system displays a confirmation message indicating that no claim will be generated.
Use This When
- Documentation is required
- Diagnoses and procedures should be retained in the treatment note
- The visit should not enter billing workflows
- No insurance or patient claim is needed
This option allows providers to preserve coding information within the treatment note without generating a billable claim.
Compliance Reporting
The Visit Compliance Report recognizes treatment notes configured as Fee Slip Not Required and does not treat them as missing documentation.
This helps reduce false compliance exceptions while maintaining visibility into completed documentation.
