  • Track all waiting patients in one centralized view
  • Quickly fill open slots with the right patients

How to Use Waitlist


1.Add Patients to your Waitlist

Go to Scheduler > Waitlist:


Complete the fields:

    • Date Added

      Patient

      Preferences (any that apply):

      • Categories (appointment types)
      • Providers
      • Locations
      • Preferred Times
    • Click Add to Waitlist to save.

The patient is now added to the Waitlist queue!


2. View and Manage the Waitlist

Use the Waitlist report to see all patients waiting for openings.

Go to Reports > Appointments > Waitlist

From this view, you can:

      • See all queued patients in one place
      • Review preferences and matching criteria at a glance
      • Filter by:
        • Date range
        • Provider
        • Appointment type

From here, you can quickly act when availability opens up!


3. Fill an Open Appointment

When a time slot becomes available:

  1. Open the available appointment slot in the Scheduler
  2. View suggested patients from the Waitlist:

  1. Select a matching patient
  2. Book the appointment!

Once scheduled, the patient is automatically removed from the Waitlist


Automated Notifications (GrowthHub Pro+)

With Pro+, Waitlist becomes fully automated.

How It Works - When an appointment slot opens, the system:

    • Finds matching patients based on preferences
    • Sends notifications via SMS or email

You can:

  • Edit message content
  • Choose delivery method (SMS, email, or both)
  • Control when and how notifications are sent

This eliminates manual outreach and speeds up booking.


Waitlist keeps itself up to date:

  • Patients are automatically removed once scheduled
  • No need to manually manage or clean your list
