Workflow Rules (Patient Communication via SMS, Email, and PatientHub 360 App)
Workflow Rules determine what messages are sent to patients, when they’re sent, and how they’re delivered—while still allowing flexibility through patient-level communication preferences! With Workflow Rules, you can manage Appointment reminders, Booking confirmations, GrowthHub features like Enhanced Reminders, Birthdays and Review Requests (part of Growthhub Pro), and Virtual Assistant (part of Growthhub Pro).
Workflow Rules ensure patients receive the right message, at the right time, through the right channel, without requiring manual effort from your team!
Go to Settings > Communication > Workflow Rules or click here:
- The first tab is your Appointment Reminder Settings: How to Set Up Appointment Reminders

Multiple Per Day
This setting lets you choose whether patients receive a reminder for each scheduled appointment on the same day or only for their earliest appointment.

Include Footer
Footers allow you to add an extra message to the bottom of your appointment reminders. Toggle this setting to Yes to enable it, then customize the message you’d like included (ie Practice Name, Practice Phone, Practice Address)

- Online Scheduler:
- Booking confirmations for appointments scheduled Online.
- Note: when you Approve an appointment request, the system will send an auto-generated Confirmation/Approval message that cannot be customized
- Online Booking Payment Options: If using ChiroSpring Pay, here you can customize the requirement for card or payment during the time of Online Booking
- Booking confirmations for appointments scheduled Online.

- The "Patient" tab applies to additional Patient Communication settings including the patient Mobile App:
- PatientHub 360 Mobile App: Choose whether or not you want to allow patients to schedule into your open time slots via Instant Scheduling in the app
- Daily Health Goals: If turned on, patients will have the option to link their Fitness Data from their phone's Health app into their PatientHub360 app. This informaion would show in their file.
- Non-Reminder Messaging: Allows you to include a Footer Message with particular system automated texts:

Lastly, you can manage Patient Communication Preferences on an individual level. In the patient file go to their tab "Patient Preferences" and customize from there!
